Management Assistant

INTRODUCTION

This position is in the Business Activities Branch, Morale, Welfare and Recreation Division. The incumbent serves as the Management Assistant for the Head, Business Activities Branch, the Head, Beverage and Entertainment Section and Head, Food services Operation Section. The function of Business Activities Branch includes formulating policy and promulgating directives governing the operation, administration of Navy clubs, food and beverage services, slot and amusement machine, bowling, marinas and golf, providing administrative and technical guidance to such activities concerning policy matters, procedures and performance improvement techniques.

MAJOR DUTIES AND RESPONSIBILITIES

  • Incumbent must be fully versed with the work and procedures of all sections within the Branch and assist the sections with secretarial duties as needed.
  • Advises supervisor on such matters as procedures in the clearance of memos, past practices with respect to various reports, the general nature and history of recurring items, and the sources from whom supervisor can obtain a quick explanation on various matters.
  • Arranges travel schedule, itineraries, makes reservations and advised field activities of such planned visits and reasons thereof. Prepares travel requests and the necessary per diem rates and travel advance required for each trip. While supervisors and other personnel are in a travel status, incumbent keeps notes. When they return, or call in, incumbent advises them of significant events which have transpired.
  • Maintains records of all trips through file database; provides monthly and annual reports of all personnel trips as needed (in the absence of other administrative assistant).
  • Prepares all purchase requests and purchase orders for the Branch and process vouchers for payment. At the end of fiscal year, prepares memo of all outstanding purchase orders and invoices to make sure that funds are expended.
  • Receives telephone calls coming to the Branch, provides information regarding normal operational matters of the Branch, referring other inquiries to the appropriate personnel of the Branch.
  • Monitor office supplies for the branch. Keep adequate daily supplies on hand and process special orders.
  • Backup computers for Branch and Section Heads. Remind other branch staff to do computer backups, verify that backups have been done and take tapes to computer services.
  • Maintains all general files consisting of cumulative reports, letters, notices, instructions, etc.

 

REQUIREMENTS

  • Must be familiar with the Bureau of Naval Personnel, Navy Department, organization and thoroughly informed on secretarial and office procedures.
  • Must be able to work with minimum supervision.
  • Ability to proceed with the necessary office work without specific directions.
  • Incumbent must possess tact, sound judgment, initiative, and the ability to work with other personnel within the Division.
  • In addition, to being fully competent professionally, the incumbent must also possess the ability to express themselves in an affable and courteous manner in correspondence, telephone and personal work contacts, thereby enhancing the public's opinion of the Navy.
